Liike Workspace Privacy Notice V1.0 Revision 4
1. Controller and Contact
The controller is Liike Digital Oy, Business ID 3612672-1, Vanhanlinnantie 3b 34, 00900 Helsinki, Finland. Privacy requests may be sent to support@liikedigital.fi with the subject line ‘Privacy Request.’ Liike has not appointed a Data Protection Officer for Workspace.
2. Account Creation and Authentication
Categories: name, email address, authentication identifiers, login events, account status and technical metadata. Purpose: create, authenticate and secure Workspace accounts. Legal basis: contract performance, pre-contractual steps and Liike's legitimate interests in secure service operation. Recipients: authentication, hosting and security providers. Retention: for the account lifetime and as needed for security, legal and audit records. Provision is required for account access.
3. Business and User Administration
Categories: representative details, verified business identity, role, seat assignment, business contact details, website, brand and account settings. Purpose: administer the B2B subscription, authorized users and Workspace access. Legal basis: contract performance, legal obligations where business evidence is required, and legitimate interests in preventing unauthorized use. Recipients: hosting, database, support and operational providers. Retention: while the account exists and as required for legal, billing and fraud records.
4. Finland Business Verification
During Finland-first onboarding, Liike uses the Business ID submitted by the representative to query the Finnish Business Information System open-data interface operated by the Finnish Patent and Registration Office (PRH/YTJ). Liike records the submitted Business ID, registered legal business name, Trade Register status, relevant current company-status flags, query time, verification result, source URL and source licence information.
Liike uses this information to confirm that Workspace is requested for a Finnish registered business, prevent unauthorised or inaccurate business onboarding, protect the service and create reliable B2B contract evidence. The legal bases are steps requested before entering into a contract, performance of the Workspace agreement where applicable, and Liike’s legitimate interests in fraud prevention, accurate contracting and service security.
Verification evidence for an accepted Customer is retained for the account and contract lifecycle and thereafter only as required for legal claims, security, accounting or recordkeeping. Evidence for an onboarding attempt that is not completed is retained for 90 calendar days for security, troubleshooting and review purposes, unless a longer period is necessary for a documented legal claim or security incident.
A mismatch, unavailable record or unsuitable register status may automatically pause onboarding. It does not constitute a final solely automated refusal of service. The representative may correct the submitted details, retry the check or request human review by emailing support@liikedigital.fi with the subject line “Workspace Verification Review.” Liike will consider the correction or evidence before making a final eligibility decision.
5. Billing and Payment Administration
Categories: billing identity, payment-provider customer and subscription identifiers, payment status, invoice references, tax and transaction records. Purpose: administer payment, subscriptions, invoices, refunds, chargebacks and accounting. Legal basis: contract performance and legal obligations. Recipients: Paddle or other payment provider, accounting, tax, hosting and database providers. Retention: for statutory accounting, tax and legal retention periods.
6. Contract Evidence
Categories: accepted document versions, canonical contractual-text hashes, customer-visible UTF-8 source hashes, checkbox text, acceptance timestamp, user ID, representative authority declaration, B2B-purpose declaration, request ID, IP address, user agent, verification result and eventual payment/checkout binding where recorded. Purpose: prove acceptance, maintain immutable legal evidence and administer disputes. Legal basis: contract performance, legal obligations and legitimate interests in legal recordkeeping. Recipients: hosting, database, legal and audit providers where needed. Retention: for the contract term and applicable legal limitation or recordkeeping periods.
7. Customer Support
Categories: support messages, account identifiers, contact details, troubleshooting information, attached files and issue history. Purpose: provide business-day software/account support and resolve service issues. Legal basis: contract performance and legitimate interests. Recipients: support, email, hosting and operational providers. Retention: for the support lifecycle and as needed for legal, security and quality records.
8. Security and Fraud Prevention
Categories: IP address, user agent, device/browser information, access logs, security events, abuse indicators and fraud signals. Purpose: protect Workspace, customers, Liike systems and payment flows. Legal basis: legitimate interests and legal obligations. Recipients: hosting, authentication, database, security and fraud-prevention providers. Retention: according to security need and legal limitation periods.
9. Service Operation
Categories: website URLs, Audit requests, Audit results, SEOptimer report references, report exports, dashboard settings and operational logs. Purpose: provide Workspace functionality, quotas, reports, exports and operational history. Legal basis: contract performance and legitimate interests in service operation. Recipients: hosting, database, reporting and relevant feature providers. Retention: operational Audit history is available for up to 12 months on a rolling basis while subscribed, subject to legal and security retention exceptions.
10. Optional Connected Integrations
Categories: connected-account identifiers, permissions, analytics/search data, website performance data and integration logs. Purpose: provide optional connected reporting and related Workspace features. Legal basis: contract performance when the Customer enables the feature and legitimate interests in service operation. Where consent is legally required for a specific integration or cookie, consent is collected separately. Recipients: relevant integration providers and infrastructure providers. Retention: while connected and as needed for operational, legal and security purposes. Where Liike processes Customer Personal Data solely on the Customer’s behalf as processor, the Customer is responsible for the applicable legal basis and transparency information; that processing is governed by the DPA and is not controller processing described in this Notice.
11. Legal and Accounting Compliance
Categories: contract records, invoices, tax records, corporate records, legal correspondence and dispute materials. Purpose: comply with accounting, tax, corporate, legal and regulatory duties. Legal basis: legal obligations and legitimate interests in legal defence. Recipients: accountants, auditors, legal advisers, authorities and infrastructure providers where necessary. Retention: for applicable statutory and legal limitation periods.
12. Sources of Data
Most data is collected directly from the Customer, its representatives and authorized users. Data may also come from payment providers, authentication systems, optional connected services, SEOptimer or similar feature providers, security logs, PRH/YTJ Open Data (Finnish Business Information System open-data interface operated by the Finnish Patent and Registration Office), which is sourced under the CC BY 4.0 licence, other public business registers, and customer-authorized third-party systems.
13. International Transfers and Safeguards
Recipients and providers may process data outside Finland or the European Economic Area. Where required, Liike relies on appropriate safeguards such as adequacy decisions, standard contractual clauses, data processing agreements, technical and organizational measures, or another lawful transfer mechanism.
14. Contractual or Required Provision
Certain data is required to create an account, verify business use, administer payment, provide Workspace, comply with legal duties and maintain contract evidence. If required data is not provided, Liike may be unable to create or maintain the account, provide the subscription, issue invoices, support the customer or preserve legal evidence.
15. Data Subject Rights
Subject to applicable law, individuals may request access, rectification, erasure, restriction, portability where applicable, and objection to processing based on legitimate interests. Where processing is based on consent, consent may be withdrawn without affecting processing already carried out before withdrawal.
16. Complaint Right
Individuals have the right to lodge a complaint with the Finnish Data Protection Ombudsman or another competent supervisory authority.
17. Automated Decision-Making
Liike may automatically pause Finland-first onboarding following a mismatch, unavailable PRH/YTJ record or unsuitable register status. This pause is not a final solely automated refusal of service: the representative may correct the submitted details, retry the check or request human review as described in Section 4. Software-generated recommendations and reports support customer review and do not replace the Customer's own business judgement.
18. Cookie and Privacy Acknowledgement
Cookie consent remains separate from this Privacy Notice. Acknowledging this Privacy Notice is not purchase consent, cookie consent or consent to optional marketing.
